Application

What are the dates for Web Summit Vancouver 2025?

The event will be between 27 and 30 of May, 2025.
But there will be some volunteer shifts in the days before. Check the shifts in Bloomerang Volunteer after you’re selected (you will receive an email reminding you).

And where is the venue?
The event will be held in Vancouver  –  Canada, location TBC.

What is the minimum age to apply to the Web Summit Vancouver volunteer program?
In order to volunteer, you must be 18 years old or older. All volunteers must bring ID with them in order to collect their accreditation. Any person under the age of 18 will not be granted access to the program or the event.

I need a VISA to enter Canada. Can I get your help?
Unfortunately, Web Summit Vancouver cannot assist you with a VISA to come to Canada nor send you an invitation letter. That decision is entirely up to the Government of Canada.

What is the application process?
First, let us know of your interest in the volunteer program here.

Some weeks before the event, you will receive an email asking if you continue to be interested in the volunteer program and you’ll need to fill in a form on the Bloomerang Volunteer platform to confirm your application.

After that, the selection process begins and when you’re selected by the volunteer management team, you’ll receive another email to choose your shifts.

When you confirm your availability to those shifts you’re confirmed as a Web Summit volunteer and you’ll receive the final information about your roles and logistics for the event.

There are many areas where you can help the event. Please see a brief inside the Bloomerang Volunteer platform.

Do I get any food/meal during my shifts?

Yes! Every volunteer gets a complimentary meal during their shift and there will also be light snacks available in the Volunteer Hub during the day.

Is there any travel and accommodation help for volunteers?

There is not. Web Summit Vancouver can’t help with your travel and accommodation expenses, these are the responsibility of the individual.

Yes! You’ll get a free day to visit the event, after you complete at least one of your two (or more) shifts. Details will be provided in your General Volunteer Handbook.
If you don’t have a shift on Opening Night, you are welcome to attend this as well. Again, details will be provided in your General Volunteer Handbook.

Download the Bloomerang Volunteer app, to choose and see your shifts and receive all the information from the volunteer management team during the event.

How do I get my volunteer accreditation?

In order to receive your volunteer accreditation at check in, you will need to prove that you are an accepted Web Summit Vancouver volunteer.

To do this, you must download the Web Summit Vancouver app and log in using your ticket reference to access your QR code. Your ticket reference is sent to you by email a few days before the shifts start (after you are selected and sign up for your shifts).

Each volunteer QR code is unique and allows you to collect your accreditation when you check in onsite.

What is the dress code for the event?

The dress code for Web Summit Vancouver volunteers is comfortable! Bring comfortable clothes and shoes to be able to be standing or walking all over the venue. A volunteer t-shirt will be provided.
If you’re selected for some specific roles, you might be asked to bring dark clothes.
Check weather conditions and bring a warm layer under your volunteer t-shirt or a rain jacket.

Are there rules I have to follow during the event?

After you check in to your shift, please wait at the Volunteer Hub. A member of staff or a Volunteer Lead will bring you to your position.

The volunteer team will make sure you are where you need to be at the right time.

Please stay in your assigned role. If you need to take a break, speak with your team manager.
You are representatives of the event, so please behave in a professional manner while on your shift.

Do not ask to take selfies with any speakers while you are on shift. This is absolutely not allowed.

Please follow our volunteer social media guidelines.

If you need to make a call or use your phone, please do so when you are on your break. We ask that you are flexible with our team, and open to changes in your role. Live events can be unpredictable at times, and we appreciate your support.

Wear your volunteer t-shirt and make sure you wear comfortable footwear.

When you signed up to volunteer at Web Summit Vancouver, you agreed to our Terms & Conditions. Please review them here as a reminder of the rules that are in place for volunteers.
